The Alumni Portal is a provider of Software as a Service ("SaaS"). As a SaaS provider, The Alumni Portal provides its customers with a suite of Alumni Management solutions and serves as a data processor for the clients who use The Alumni Portal’s products. Customers of The Alumni Portal's hosted solutions fill the role of data controller. The Alumni Portal maintains only that information which its customers have asked it to process and processes it only upon, and in accordance with, the customer's direction and instructions. This SaaS Privacy Policy does not reflect the privacy practices of The Alumni Portal's customers, and The Alumni Portal is not responsible for its customers' privacy policies or practices. The Alumni Portal does not review, comment upon or monitor its customers' compliance with their respective privacy policies, nor does The Alumni Portal review its customer instructions to determine whether they are in compliance with or conflict with the terms of a customer's published privacy policy.
This SaaS Privacy Policy applies only to the transfer of personally identifiable information ("Personal Information") received by The Alumni Portal in any format through its hosted solutions, whether supplied directly by The Alumni Portal customers or by employees or users of the hosted solutions anywhere in the world, including transfers from the European Union and Canada to the United States.
The Alumni Portal supports a hosted Alumni Management System, where it collects and stores Personal Information including but not limited to customers' organizational data (salary and compensation figures and structures, job descriptions, job codes, reporting relationships), employee data (specific identifying information such as name, email/physical address, current/previous base salary, performance ratings, skills, skill gaps, qualifications, certifications, gender, ethnicity, language, picture, resume and other demographical information), and other data required to provide Alumni services for customers and their employees. The customer maintains full rights to view, access, modify and delete information about their own employees. The Alumni Portal operates as a data processor for its customers. The Alumni Portal maintains only the Personal Information which its customers have asked The Alumni Portal to process and processes it only upon, and in accordance with, the customer's direction and instructions. It is the responsibility of the customer to ensure that the data the customer collects and later gives to The Alumni Portal can be legally collected and disclosed in the country of origin. The The Alumni Portal customer is responsible for giving its employees and users the appropriate level of notification that Personal Information is being collected and maintained. Each individual employee user of the system has the access rights granted to him/her by the customer’s administrator. The The Alumni Portal customer also is responsible for ensuring the security of any method used by the customer to provide Personal Information to The Alumni Portal if through means other than the hosted solution.
The Alumni Portal will not disclose any individual personal information such as names, address, salary information, etc, to any outside parties except as required by law or as requested by the customer. For example, a customer may use the The Alumni Portal System to provide enrollment data to their benefits providers. These types of disclosure transactions can be initiated only by the The Alumni Portal customer. The Alumni Portal may disclose Personal Information when required by law or in the good faith belief that such action is necessary in order to conform to the edicts of the law, comply with legal mandates, enforce the terms of use of The Alumni Portal’s Web site, enforce agreement between The Alumni Portal and its customers or to protect the rights, property, or personal safety of The Alumni Portal, its users and the public.
Cookies are files Web browsers place on a computer's hard drive. They are used to help The Alumni Portal authenticate users and provide time saving shortcuts and preferences. The Alumni Portal issues a mandatory session cookie to each user only to record encrypted authentication information for the duration of a specific session. If this cookie is rejected, access to and usage of the System will be denied. The session cookie does not include the username or password of the user.
An important feature of the The Alumni Portal System is the ability for employees to access certain sections of their own personal information (i.e. self-service). This feature means that the right and responsibility for entering correct information rests with the employee. Any changes to employee data go though customer configurable approval processes. The customer administrator of the The Alumni Portal System, typically the Alumni Management Department, has access to all Alumni information.
The Alumni Portal may contain links to other Web sites. The Alumni Portal is not responsible for the privacy practices or the content of these other web sites. Customers and visiiors will need to check the policy statement of these others web sites to understand their policies. Customers and visitors who access a linked site may be disclosing their private information. It is the responsibility of the user to keep such information private and confidential.
The Alumni Portal does not provide detailed information about individual site visits, nor the information users provide, to outside companies without users' permission. The Alumni Portal may share aggregated information about the use of this site to companies with which The Alumni Portal has business relationships. This usage information, such as numbers and frequency of visits, may be used to attract appropriate advertisers to various areas of the site. The Alumni Portal provides this data so that advertisers and other businesses can better understand how people use partners' content and the The Alumni Portal.com site, with the goal of providing the best possible web experience.
The Alumni Portal protects company and Institute and Users data by employing security measures at various levels:
Application Security. Every user of the The Alumni Portal System must have a valid username and password combination. Initial passwords are auto-generated and emailed and consequently not known by any employee of The Alumni Portal. The customer administrator has the ability to control access for all features of the product for all Users of their company. In addition to feature level security, The Alumni Portal employs fine-grained data level security to limit access to data. For example a manager should be able to see some information about their Alumni, such as name, Contact Number, Address, etc, but not other employee information such as ethnicity, dependent information or benefits details.
Internet Security. The Alumni Portal uses industry-standard 128-bit secure socket layer (SSL) technology and digital certificates to encrypt and authenticate transactions. SSL creates a secured connection between our web servers and your browser, which eliminates unauthorized access to transmitted data and ensures data is sent only to the intended server.
Database Security. Access to the database is controlled by and limited to the The Alumni Portal application only. Employees of The Alumni Portal do not have physical access to the database or data. Additionally, all data changes are logged and audited.
Server Security. The Alumni Portal has partnered with a leading ASP hosting provider to locate The Alumni Portal server farm in a highly secure, highly available offsite facility. The Alumni Portal server infrastructure is secured using advanced Internet firewalls, network-based intrusion detection systems, redundant / highly available routers and switches, redundant / highly available power facilities, and regularly scheduled backups with offsite storage.
The Alumni Portal considers security of data to be a primary focus and is constantly revising security tools and procedures to insure the security and integrity of customer data.
The Alumni Portal offers its visitors and customers a means to choose how we may use information provided. If, at any time after registering for information or ordering Services, you change your mind about receiving information from us or about sharing your information with third parties, send us a request specifying your new choice.
